Securing ISO 9001 certification under tight timeframes

Elphinstone is a globally recognised manufacturer of mining equipment, transport solutions and specialised industrial products, exporting to more than 30 countries. When the company secured an opportunity to supply key components for a major Australian defence program, it needed to demonstrate compliance with ISO 9001:2015 quality management requirements within a very short timeframe.

The Project Lab was engaged to help assess, strengthen and certify Elphinstone's Quality Management System (QMS). Working closely with operational leaders and key stakeholders across the business, we helped prepare the organisation for certification while ensuring quality management practices could support future growth within the defence sector.

Challenge: Meeting defence industry requirements within four months

Elphinstone secured an opportunity to supply key components for a major Australian defence program through Hanwha Defense Australia. However, to participate in the contract, the organisation was required to achieve ISO 9001:2015 certification within a tight four-month timeframe.

The challenge extended beyond obtaining certification. Elphinstone needed to demonstrate that quality management practices were consistently embedded across the organisation, from engineering and procurement through to fabrication, assembly and support functions. This required a comprehensive review of existing systems, processes and documentation while maintaining day-to-day operations and preparing for an external certification audit.

Success would not only enable Elphinstone to meet immediate customer requirements, but also position the organisation to pursue future opportunities within the defence manufacturing sector.

Solution: Quality management system review and certification readiness

The Project Lab worked alongside Elphinstone's leadership team, Quality Manager and operational stakeholders to assess the maturity of the existing Quality Management System (QMS), identify certification gaps and implement practical improvements across the business. The focus was on building capability, strengthening quality processes and preparing the organisation for a successful certification audit within the required timeframe.

Our approach:

  • Engaged stakeholders across engineering, procurement, fabrication, assembly, shipping, IT and HR to understand current quality management practices and operational requirements.
  • Conducted a detailed gap assessment against ISO 9001:2015 requirements through workshops, interviews, document reviews and operational observations.
  • Identified opportunities to strengthen quality management processes, documentation and system controls across key business functions.
  • Worked closely with Elphinstone's team to implement process improvements and address certification readiness gaps.
  • Supported the organisation's first end-to-end internal audit, helping to establish greater confidence in the effectiveness of the Quality Management System.
  • Provided guidance and support throughout the external certification process to help stakeholders prepare for audit activities and demonstrate compliance requirements.
